Subject: Urgent Complaint Regarding Lack of Communication and Maintenance in the Community I am writing to express my deep concerns regarding the lack of communication and maintenance in our community. Despite numerous attempts to contact the office staff, particularly Brenda, and the management, I have not received any response to my calls or emails. This lack of responsiveness is unacceptable and does not reflect the level of professionalism expected from our HOA. Furthermore, it is distressing to note that the office staff and management have repeatedly refused to schedule an appointment with community residents to address our concerns regarding the deteriorating maintenance standards and the mishandling of funds. As stakeholders in this community, we have a right to voice our grievances and seek resolution to these issues. The negligence in maintaining our community not only affects the aesthetic appeal but also diminishes the value of our properties. We, the undersigned residents of ***** ****, are deeply concerned about the lack of effective governance and maintenance from the current HOA board members of Prime Financial Services. Despite numerous attempts to address pressing issues affecting our neighborhood, we have witnessed a persistent neglect of our concerns, leading to a decline in the quality of life and safety within our community. The current HOA board members have repeatedly failed to act on critical matters, including: Maintenance of Common Areas: The neglect of maintenance around the pond and wooded areas has resulted in overgrown vegetation, causing damage to fences and property and creating safety hazards for residents. In addition the lack of attention to the pet area has resulted in foul smells and unsanitary conditions near the children's play area, posing a risk of disease transmission. Frequent Homeowner Due Increases: There are concerns about the mishandling of funds. The increasing homeowner dues have become a burden on residents without noticeable enhancements to our community. Additionally, numerous homeowners have experienced inconsistencies in the acknowledgment and prompt processing of HOA payments, resulting in late fees. Consequently, we, the residents of ***** **** Subdivision, are unified in our rightful demand for access to the HOA's financial statements. South Carolina law mandates that homeowners associations (HOAs) must furnish financial statements to members annually, a requirement that has never been fulfilled. 4. Lack of Communication and Transparency: The board has shown a lack of transparency and communication with residents, failing to address concerns and provide updates on important matters affecting our community. Section 27-30-140 of CHAPTER 30 Homeowners Associations Article 1, known as the South Carolina Homeowners Association Act, stipulates that before a homeowners association can proceed with increasingCustomer response

As representatives of the residents of ***** ****, we have come together to discuss and propose several critical changes aimed at improving the well-being of our community.
Firstly, we express our objection to any potential increases in HOA fees until we witness the successful implementation and continuation of the proposed changes for a minimum of 12 months. The lack of prior notification regarding discussions on insurance and finances before voting on matters affecting our property has deprived us of a fair opportunity to voice our concerns.
These changes are geared toward enhancing our overall living experience and ensuring that ***** **** remains a thriving and desirable place to call home.
1. Enhanced Communication: We urge for improved communication channels between the HOA board and residents. Clear, frequent, and transparent communication is essential for fostering a sense of community and addressing concerns effectively. We propose implementing regular newsletters, email updates, or town hall meetings to keep residents informed about important updates, events, and decisions affecting our community.
2. Enhanced Maintenance Services: We call for improved maintenance of communal areas, including landscaping, lawn care, upkeep of walking trails, cleaning of the lake area, and repair of fences. Ensuring the upkeep and functionality of our shared spaces is vital for maintaining property values and elevating the overall attractiveness of ***** ****.
3. Financial Transparency: We seek transparent and easily accessible financial statements, budgets, and expenditure reports from the HOA. Ensuring accountability and proper management of HOA funds is paramount to building trust and confidence among residents.
4. Review and Update of Rules: We propose a thorough review of existing HOA rules and regulations to ensure fairness, reasonableness, and effective enforcement. By updating outdated policies and addressing any inconsistencies, we can create a more cohesive and harmonious community environment.
5. Conflict Resolution Mechanisms: We advocate for improved procedures for resolving disputes or conflicts within the community. Establishing mediation services or clear escalation paths for unresolved issues can help facilitate constructive dialogue and prevent conflicts from escalating.
6. Accessible Board Meetings: We call for open and inclusive HOA board meetings, providing opportunities for residents to attend, ask questions, and provide input on crucial decisions affecting the community. Encouraging resident participation fosters transparency and accountability within the HOA governance process.
7. Security Enhancement: We urge the installation of strategically positioned security cameras throughout the neighborhood and the gate, ensuring 24-hour continuous closure. This measure will effectively deter unauthorized access, bolstering the overall safety and security of our community.
Additionally, we propose that all potential contractors, including those for lawn care and security services, undergo a formal voting process conducted by the residents. Moreover, we insist on the opportunity to review all invoices before the commencement of services to ensure transparency and accountability in managing our community's expenditures.
Furthermore, we request the consideration of new lawn care contractors as it has become evident that our current providers are not meeting our community's standards. We firmly believe that engaging new contractors capable of delivering reliable and high-quality lawn care services will significantly enhance the appearance and value of ***** ****.
We are confident that these changes will strengthen the continual prosperity and well-being of ***** ****. Your thoughtful consideration of these matters is greatly appreciated, and we eagerly anticipate working together with the HOA board to achieve our shared goals. I was sent a letter from this companies lawyer a Walter T*** jr stating I haven’t payed HOA fees since 2017. I have no invoices after 2017 in which I already had paid. I received nothing from Prime financial services since they took over this HOA. I paid them to keep from having to go thru courts and lawyer fees. My complaint and their are others here in Farrow point and Birchfield. I should have been sent notices from the HOA instead of a Lawyer. I have asked for a paid in full receipt and to this day have not received one. I and others were charged 250.00 to this lawyer. Seems that a book. Keeping error on their behave should not penalize me and others.Business response

This homeowner was sent to the HOA's attorney for collection of past due fees. They provided no documentation that they had previously paid the dues reflecting that our records were incorrect. Therefore, the attorney collected the dues owed plus fees.
